Usage Guide (for students and staff)

Entry

Please bring your student card or library user’s card.
Those without a library user’s card are requested to bring some form of personal identification to the counter.
<Using the library at night>
Students and faculty belonging to the graduate schools on our campus may enter the library, borrow materials, make reservations, etc. until 9:00 p.m. on weekdays. (Certain services are excluded.)
Please follow the rules while inside the library.

Borrowing

Please bring the materials you wish to borrow to the counter and complete the check-out procedure.

* During long holidays the loan period may be extended.
* For materials borrowed from an external library, the loan period and number of books that can be borrowed are subject to the rules of the external library.

Returns

Please bring the materials to be returned to the counter and complete the return procedure. If the library is closed, you can put them into the returns post box at the entrance. You can also check the status of your borrowed materials using the My Library service (students and faculty only).

〇Extensions
Extensions are possible as long as no one else has placed a reservation on the material in question. Please bring the materials in question, along with your student card or library user’s card, to the counter and complete the extension procedure.

Notes

  • You will not be able to borrow new materials if you already have one or more books that are overdue.
  • As a penalty for being overdue, you may have a limit placed on the number of books you can borrow for a certain period of time, or be unable to borrow books or extend your current loans.
  • In the event of materials being stained, damaged, or lost, please contact the library promptly. You may be required to pay for any damages, so please take appropriate care of library materials.
  • You may not borrow materials under someone else’s name or loan borrowed materials to a third party.
    (Penalties, etc. shall all be applied to the person under whose name the materials were borrowed.)

Photocopying

Books, journals, etc. in the holdings of the library may be photocopied.

* Photocopying is limited to the scope permitted by the Copyright Act of Japan. For more information, please inquire at the counter.

Materials for use inside the library

These materials may only be used inside the library. They are not available to be borrowed.

〇Serial publications
List of subscribed journal titles (available to be borrowed except the latest issue) PDF
Subscribed newspapers (kept for three months): Kobe Shimbun, Nihon Keizai Shimbun

〇Student dissertations
Master’s and doctoral theses of the Graduate School of Information Science, Graduate School of Applied Informatics and the Graduate School of Simulation Studies are available to be read.

* Dissertation titles and author names can also be searched using OPAC. 
* Some doctoral theses are available for free in the online repository.



〇Audiovisual materials
These can be used in the AV booths in the library. Please fill out the designated application form and present it at the counter.

What to do when the book/paper you are looking for isn’t there...

〇Reservations
You can place orders for books currently on loan or books (no journals) in the holdings of the other University of Hyogo libraries free of charge.
Once it arrives, it will be held in the library for you for a period of one week (you will be notified by e-mail).

Applications can also be made via OPAC (students and faculty only).

〇Interlibrary loan
1. Photocopying of documents
You can order papers you find in databases and reference lists from other libraries and universities.

2. Shared loaning
As in 1., you can place orders for books in the holdings of the other universities. Borrowing conditions are subject to the rules of the external library.

3. Direct access to another university’s library (issuance of a letter of introduction)
Should you wish to directly visit another university, you will need a letter of introduction from the University of Hyogo. For details, please contact the library.

Notes

  • In principle, an application, once made, cannot be canceled based on the user’s request. Before submitting any application, please make sure that you are satisfied with it.
  • Photocopying is permitted only within the scope recognized by the Copyright Act of Japan.
  • Issuance of a letter of introduction may take a while. For this reason, please submit any inquiries in good time.

4. Purchase requests
At all times, we accept requests from students and faculty for books that our library should have in its holdings. Please fill out the designated application form and present it at the counter. → Book Purchase Request Application Form
* It normally takes around one month from the request to the material being made available for use.
* We may decline requests to purchase items that do not accord with the collection policy of the library.

5. Reference services (reference surveys)
If you have any inquiries regarding how to locate a document, other questions relating to documents, or anything else you wish to know about how to use the library, please feel free to ask a member of staff.

* You are not permitted to take materials out of the library until you have completed the necessary procedures.
* Eating, drinking, and speaking on the phone are not permitted inside the library. Please refrain from any activities that may be disruptive to other library users.
